Setting Up Multi-Factor Authentication (MFA) Instructions

Many platforms now require Multi-Factor Authentication (MFA), Two-Factor Authentication (2FA), or similar checks when logging in. To ensure agents can access these platforms smoothly through BuddyBee, you need to configure the appropriate MFA instructions inside BuddyBee. This article provides an overview of the issue, then outlines step-by-step examples for setting up MFA prompts on a platform-by-platform basis.

Why MFA instructions are needed

When logging in, BuddyBee encounters the same MFA challenges as a human agent would. Unless BuddyBee knows how to respond, login may fail. By pre-defining the expected prompts and responses in BuddyBee, you enable agents to:

  • Log in seamlessly without delays.
  • Avoid repeated lockouts caused by failed MFA attempts.
  • Stay compliant with platform security requirements.

How to Configure MFA Instructions

Credentials are added centrally in BuddyBee Admin, so agents do not need to store or manage login details individually.

When BuddyBee prompts an agent to log in to or use a platform, the prompt should also include the MFA instructions the agent needs to follow.

Examples of platform-specific prompts are provided below.

  • Always test after setting up MFA instructions to confirm BuddyBee handles the login correctly.
  • Keep recovery options (backup phone/email) up to date to avoid failed logins.
  • Update BuddyBee configurations if the platform changes its MFA wording or process.
  • Document all configured MFA flows so your team knows what to expect.

Using a Secret Key for MFA

Some platforms provide a secret key (also called a backup key or Authenticator setup key) during MFA setup. This key can be stored directly in BuddyBee’s central credentials so that BuddyBee can automatically generate the required codes without agent input.

How to use a secret key in BuddyBee:

  1. When setting up MFA on the platform, choose the option to use an Authenticator app.
  2. Instead of scanning the QR code, copy the secret key provided.
  3. Go to BuddyBee Admin > Platforms.
  4. Add the secret key in the 'TOTP Secret (Optional)' field.
  5. Save the credentials.

BuddyBee will now generate the time-based MFA codes automatically using the secret key, so agents won’t need to enter them manually.

⚠️ Note: Not all platforms support secret key export. If a secret key is not available, configure MFA instructions as described in the previous section.
